Policies

Policies 2025-2026

1.   Policies will be approved and/or changed by a majority vote of the members present at any general membership meeting.

2.  Flowers and/or cards may be sent to members for serious illnesses and other appropriate occasions by the Goodwill Ambassador. In the event of a member’s death, a $50.00 donation will be sent in her memory to a charity of choice.  In the death of a member’s spouse, a $25.00 donation will be sent in the spouse’s memory to a charity of choice.  The treasurer will confirm the specific charity with the surviving spouse or family member.

3.  Residents of the southeast valley may attend two club functions as guests.  Paid membership is required for participation after that.

4.  Cost for the gift presented to the outgoing president shall not exceed $50.00.

5.  Club financial records should be kept for seven years; all records are to be kept for three years.

6.  The by-laws, policies, budget, and our selected charity will be reviewed annually by the board of directors and changes or revisions will be brought to the membership for approval at the next membership meeting.

7.  Funds in the minimum amount of $300.00 will be carried over into the new fiscal year to provide operating funds until dues monies are received.

8.  Authorization for any unbudgeted expense may be made as follows:  president, up to $50.00; board of directors, up to $100.00.  Any amount exceeding one hundred dollars must be approved by a majority vote of those present at any general membership meeting.

9.  Any outside contract for services, food or activities must be approved by the president and treasurer before final acceptance.  A copy of the contract and an itemized bill will be submitted for club records.

10.  Dues are assessed at the rate of $35.00 per year.  Dues will be collected starting April 1 for the fiscal year which begins on June 1 and ends on May 31 of the following year. Membership fees are due on June 1st.   New members who join on or after April 1 will pay $35.00 for the upcoming year.  No refunds will be given to members who leave the club at any time.  Membership will be suspended for any member who has not paid her dues by June 15th. The membership directory and by-laws will be distributed at the October membership meeting.

11.  Program presenters will be invited to join us for lunch as our guest.  The vice-president will be reimbursed for the presenter’s lunch.

12.  The rules contained in “Robert’s Rules of Order” shall govern the organization in all cases to which they are applicable and in which they are not inconsistent with the by-laws of this organization.

13.  Monthly general membership meetings will be held on the first Thursday of the month at 10:30am.

14.  Members who move outside the southeast valley area or become homebound due to illness shall be offered a courtesy membership at the cost of $10.00 annually. Courtesy members will receive an emailed newsletter and full member privileges should she return for a visit or her health improves.

15.  All monies raised by the club from fundraising activities are for the benefit of the charity we support.

16.  When the club hosts social activities that have limited space available, the information article will first be published in the monthly newsletter.  The date for the beginning of the sign-up period as well as contact person will be published so that all members have equal access to the information.

17.  When the club hosts social activities, any member may bring one adult guest for any reason, other than space limitation.

18.  No member of the club shall be excluded from any club event for any reason, other than space limitation.

20.  Payment for dues and all social activities shall be made by check. No cash will be accepted.

21.  Only SEVWC members will be allowed to join and post club business and activities on the private Facebook group site.  The Facebook administrator will monitor the group site to ensure club rules and policies are being followed.  Photographs taken of members at SEVWC group events or activities may be posted on the private group site.  Club rules will be adhered to especially in regards to no religious or political posts.

No games, jokes, advertisements or the like are allowed on the group site.

Information contained in the SEVWC membership directory, website, and Facebook page are confidential and may not be used for business or solicitation purposes.
